AI is everywhere in the news, and many business owners feel they should "do something with AI" without knowing what. The good news is that you do not need a large strategy or a data science team. The best results usually come from picking one repetitive task and making it faster.

Tasks AI handles well today

  • Reading documents. Pulling the supplier, date, amounts and items out of invoices, purchase orders, forms and ID documents, and entering them into your software.
  • Answering routine questions. Order status, prices, opening hours, admission dates or appointment availability, on your website or WhatsApp, with a person taking over when needed.
  • Searching your own knowledge. Finding the right answer in years of manuals, policies, emails and project files, without someone digging through folders.
  • Drafting. First drafts of routine emails, quotations, product descriptions and reports, which a person checks and sends.
  • Checking images. Counting items, reading meters, checking labels or recording attendance from camera images.

Tasks to be careful with

AI can be confidently wrong. Be careful where a mistake is costly: legal or medical advice, final approval of payments, or decisions about people. In those areas, use AI to prepare information and keep a person responsible for the decision.

How to start

  1. Pick one task that is repetitive, takes real staff time and follows a pattern, such as entering supplier invoices.
  2. Measure it today: how many per week, how long each takes and how often mistakes happen.
  3. Collect real examples, such as a few dozen actual invoices or customer questions.
  4. Build a small prototype and test it on those examples. Measure the accuracy honestly.
  5. Keep a person in the loop at first. Let the AI prepare and a person approve, then relax the checks as confidence grows.
  6. Connect it to your systems, so results land in your ERP, CRM or accounts instead of a separate screen.

Common mistakes to avoid

  • Starting with the technology. "We need a chatbot" is a solution; "we answer the same forty questions every day" is a problem worth solving.
  • Skipping measurement. Without a before-and-after number, it is hard to know whether the project helped.
  • Testing on perfect examples. Real invoices are crumpled, photographed at an angle and handwritten in places. Test on those.
  • Leaving staff out. The people doing the task today know its exceptions. Involve them from the start.

What about data privacy?

Before sending business data to any AI service, check where it is stored and processed, and whether it may be used for training. Business plans from the major providers usually offer stronger privacy terms, and sensitive work can also run on infrastructure you control. Treat customer data carefully under India's Digital Personal Data Protection Act.

Start small, then grow
