What a chatbot does well

What it should not do
- Guess. A chatbot should answer only from information you have approved, and say "let me connect you to our team" when it does not know.
- Handle complaints alone. An upset customer wants a person. The bot should recognise this and hand over quickly.
- Make commitments. Discounts, refunds and delivery promises should come from your team, not the bot.
- Trap people. There should always be an easy way to reach a human.
How to plan a chatbot customers like
- Read your real conversations. Look at recent WhatsApp chats, calls and emails, and list the twenty questions you answer most often.
- Write approved answers for those questions. This becomes the bot's knowledge.
- Decide the handover: which topics go straight to a person, and who receives them during and after office hours.
- Choose the channels: your website, WhatsApp through the official WhatsApp Business Platform, or both.
- Test with real questions before launch, including awkward ones, spelling mistakes and mixed languages.
- Review conversations every week for the first few months, and improve the answers.

Keep the knowledge up to date
A chatbot is only as good as the information behind it. When prices, timings or policies change, the bot's answers must change the same day. Give one person the job of updating the knowledge base, and make it part of your normal process whenever something changes.

Track how many conversations the bot resolves without help, how many reach your team, and whether leads and bookings go up. A chatbot is working when customers get answers faster and your team spends less time on repeat questions.
