Most growing businesses reach the same point. The spreadsheets and chat groups that worked for ten people start to break at thirty. Orders get missed, stock figures disagree, and the owner spends evenings chasing numbers. Two options appear: buy a ready-made package, or have software built around the business.
Neither is always right. Here is how we help clients decide, and the questions worth answering before you spend anything.
Start with the work, not the software
Before comparing products, write down how work actually moves through your business. Follow one order, one purchase or one job from the first call to the final payment. Note who touches it, which registers or files they use, and where things get stuck.
You will usually find two kinds of steps:
- Standard steps that every business does the same way, such as accounting, GST returns, payroll and basic HR.
- Steps that make you different, such as how you price, how you book dealer orders, how you schedule a workshop or how you check quality. This is usually where the time goes, and where a ready-made package fits least well.
When a ready-made package is the better choice
- Your process is close to the way most businesses in your industry work.
- You need something running in weeks, not months.
- The job is standard and rule-heavy, like accounting or payroll, where an established product keeps up with changes in the law for you.
- A package covers nearly everything you need without heavy customisation.
If most of your problems are in the standard steps, buy. It is the faster and cheaper route.
When custom software pays off
- The way you work is part of your advantage, and a package would force you to change it.
- Your team already has a package but keeps spreadsheets alongside it for the steps it cannot handle.
- You use several tools that do not talk to each other, so people type the same data twice.
- Customers, dealers or field staff need a simple app of their own, built around one job.
- Per-user licence fees keep growing as you add staff and branches.
Compare the total cost, not the first invoice
The price on a quotation is only part of the cost. When you compare, look at three years rather than the first payment.
- Ready-made: licences for every user, every year; set-up and customisation; training; modules you pay for but do not use; and the hidden time staff spend on workarounds.
- Custom: the build itself; hosting; support; and changes as the business grows. You own the code, so there are no per-user licences, but you do need a team you trust to look after it.
Ask every vendor for a three-year figure, and ask what is not included.
The middle path: keep the package, build around it
You rarely have to choose all or nothing. Many of our clients keep their accounting software, which already handles GST and statutory reports well, and add custom software only where it helps: an order-booking app for dealers, a job-card system for the workshop, or a dashboard that pulls numbers from both. The two are connected, so nobody types the same entry twice.
This keeps the cost down and puts the custom work where it makes the biggest difference.
Questions to ask before you decide
- Who will use the system every day, and on what: a desktop, a tablet on the shop floor or a phone in the field?
- Which three tasks take the most time today?
- What must the new system connect to: accounting software, payment gateways, e-invoicing, WhatsApp or email?
- Who owns the data and, for custom work, the source code?
- What happens when a rule changes, such as a GST update, and who makes the change?
- What support do you get after launch, and how quickly?
- Can you start with one module and add the rest later?
If the answers point to standard steps, a good package will serve you well. If they point to the work that makes your business different, custom software is usually worth it.
