Schools and colleges handle a remarkable amount of administration: admissions, fees, attendance, timetables, exams, report cards, staff records and constant communication with parents and students. An ERP brings these together, so staff spend less time on paperwork and more on teaching.
Here are the features that matter, and the questions to ask before you choose.
Admissions
- Online application forms with document upload.
- Tracking of each application from enquiry to admission.
- Automatic messages to parents at each step.
Fees
- Fee structures by class, course, category and instalment.
- Online payment with automatic receipts.
- Reminders for dues, and reports for the accounts office.
- Concessions and scholarships recorded properly, with approvals.
Attendance and timetables
Teachers should be able to mark attendance in seconds, on a phone or tablet. Parents can be notified of absence the same day. Some institutions also use face-recognition attendance, which works well when it is planned with privacy and consent in mind.
Exams and results
Marks entry, grading rules, report cards and result publication should follow your board or university's format. Check that the system handles your grading scheme exactly, since this is where generic products often struggle.
Communication
A parent and student app or portal for notices, homework, results and fee dues reduces phone calls to the office. Messages by SMS, WhatsApp or app notifications should be sent from the system, not from staff members' personal phones.
Staff and reporting
Staff records, leave, payroll links and the reports your management and government returns need, such as UDISE+ for schools, save many hours at the end of each term.
Questions to ask before you choose
- Does it follow our exact fee rules and grading scheme, or will we have to change our process?
- Can teachers use it easily on their phones?
- Can parents pay fees online and receive receipts automatically?
- Who owns the data, and can we export it if we change systems later?
- How is student data protected? Data about children needs parental consent and extra care under India's data protection law.
- What training and support do we get, especially at admission and exam time?
Moving from your current system
Student records, fee history and past results usually live in spreadsheets or an older system. Plan how they will move: which years to bring across, how to check the totals after import, and when to stop entering data in the old system. Moving at the start of a new session or term, rather than in the middle, keeps it simple for staff and parents.
Start with the biggest pain
You do not need every module on day one. Many institutions start with fees and attendance, where the time savings are immediate, and add exams and communication next.
